The following forms are to be used by club reps for State Days. Please download and print the forms and return them as indicated following your State Day.
- Tee Times and Pairings – This will be emailed to you and to the pro shop and available on Golf Genius by noon on the Friday preceding your State Day.
- Pace of Play – Use a second copy of the Tee Times and Pairings to track pace of play.
Changes could be made to the tee sheet prior to Tuesday via calls directly to the pro shop, so be sure to grab the latest version of the sheet from them on Tuesday morning.
Please remind the people registering players that they collect only the $8 fee for the VSWGA, plus $2 for all those taking part in the Closest to the Pin contest. Players pay the course fee ($25 for 18-hole courses; $20 for 9-hole courses) and a cart fee, if applicable, directly in the pro shop. Some people may be paying for their VSWGA membership dues on Tuesday. Any payments can be taken and sent in along with a note indicating who is paying. This money should not be counted in the money tracked on the State Day Financial and Summary Sheet, however, it can all go in the same envelope to VSWGA.
Ask the pro shop to provide a local rules handout for the day. Please be sure to clearly indicate WHICH TEES PLAYERS WILL BE USING ON THE FRONT AND BACK (for example, red/gold or red/white).
Pace of Play
We are using the tee sheet generated by Golf Genius and entering the start/finish info on the far right. Please be sure to send the Pace of Play report to Nancy Myers. It is a good idea to have two printed copies of the tee sheet; one to keep track of players registering and one to keep track of pace of play.
You will be entering scores into Golf Genius. It is good to have at least two people working on scoring to ensure accuracy. As the groups come in, verify with the player turning in the card that all scores are legible, the card is signed, and the finishing time is recorded. If possible, enter the scores into Golf Genius as soon as the group comes in and ask one of the foursome to verify the scores entered.
After play, fill in the Summary report right away and send it those listed on the document. List the total number of players, that total times $8; the total number of Closest to the Pin participants, that number times $2; and the final dollar amount that goes to the VSWGA. In addition, make sure the Closest to the Pin winners are filled out at the bottom of the page.
