The following forms are to be used by club reps for State Days. Please download and print the forms and return them as indicated following your State Day.
- Tee Times and Pairings – This will be emailed to you and to the pro shop and available on Golf Genius by noon on the Friday preceding your State Day.
- Pace of Play – Use a second copy of the Tee Times and Pairings to track pace of play.
Changes
Cancellations between 7:00 a.m. the day before the event and the event time should be marked on a tee sheet by the Pro Shop. Be sure the Pro Shop understands the cancellation process and pick up a copy the morning of the event so you can make your adjustments in Golf Genius. There are no additions after 7:00 a.m. the day before the event.
Registration
Players will pay the $10 State Day fee directly to VSWGA through Golf Genius when they register for the event. The $2 charge to participate in the Closest to the Pin contest is included in this fee. Players pay the course fee ($25 for 18-hole courses; $20 for 9-hole courses) and a cart fee, if applicable, at the pro shop the day of the event.
Local Rules
Ask the pro shop to provide a local rules handout for the day. Please be sure to clearly indicate WHICH TEES PLAYERS WILL BE USING ON THE FRONT AND BACK (for example, red/gold or red/white). Also be sure the local rules indicates the Pace of Play for the event. Pace of Play should be clearly communicated by the Club prior to start of the event.
Pace of Play
We are using the tee sheet generated by Golf Genius and entering the start/finish info on the far right. Please be sure to send the Pace of Play report to Ellen McAndrew. It is a good idea to have two printed copies of the tee sheet; one to keep track of players registering and one to keep track of pace of play.
Scoring
Each foursome needs to designate a captain who will report the scores at the end of the round. Each player keeps their own score and reports it to their team captain. The team captain will also keep a team card with all the scores. Following the round, players will verbally attest their score with their team captain and all players must sign the captain’s card to attest to their score.
The team captain will verbally report the scores to the individual entering the scores directly into Golf Genius at a designated place at the club.
You will be entering scores into Golf Genius. It is good to have at least two people working on scoring to ensure accuracy. As the groups come in, record the finishing time. Ask the team captain to verify all scores entered in Golf Genius. Confirm that all players in the group have signed the scorecard to attest to their score. If possible, enter the scores into Golf Genius as soon as the group comes in and ask the team captain to verify the scores entered.
Reporting
As soon as scoring is completed, fill in the Summary report right away and email it those listed on the document. You can also take a picture of the Summary Report and text it to those listed on the document. In addition, make sure the Closest to the Pin winners are filled out at the bottom of the page. At this time, the Pace of Play tee sheet should also be emailed to Ellen McAndrew and copied to the Admin.
